Third Party Event Guidelines

Definition: A “third party event” is an activity sponsored by an individual, club, civic organization or community group to raise funds for Beaufort Memorial Hospital Foundation (BMHF).

It is the policy of the BMH Foundation to encourage, accept and recognize the proceeds of third party events so long as the following conditions are met:

  1. Any restriction on use of funds must be compliant with BMHF gift acceptance policy.
  2. BMHF has no fiduciary responsibility for third party event(s) and assumes no liability for its planning or execution, including all promotion, set-up, staffing (including volunteers), or the collection and management of funds/donations.
  3. All promotional materials must clearly state that the event is raising funds and will benefit BMHF or a BMHF-approved program of Beaufort Memorial Hospital. The Foundation must approve all printed materials (press releases, advertisements, websites, posters/flyers, etc.) associated with the event, prior to printing and/or distribution, to ensure proper use of BMHF name and logo.
  4. Beaufort Memorial Hospital Foundation will accept only outright grants, gifts, and net proceeds of event(s). The sponsoring entity is responsible for paying all expenses.
  5. Third party groups may not establish a bank or other deposit account, or transact business in the name of BMHF.
  6. Payments for auction items or other purchases at events cannot be represented as tax-deductible. Sponsoring organization agrees to identify and account for any such purchases and amounts.
  7. The following fundraising activities are prohibited in conjunction with third party event(s) for the benefit of Beaufort Memorial Hospital Foundation.
    • Programs that raise money on commission
    • Events involving the promotion or support of a political party or candidate, or those which appear to endorse a political activity.

Compliance with these guidelines is required for BMHF endorsement.
